Overview
Managing the allowed/blocked sender lists in Microsoft 365 is an important part of keeping email environments secure. Clients often need to add or remove senders or domains to keep communication flowing smoothly and protect against spam or phishing. These requests are routine but they can take up valuable Service Desk time that could be better spent on more complex issues.
To simplify these requests, the Microsoft 365 Email Management PiaPack includes two SmartForms automations – Pia: Add or Remove Email from Allow List (SmartForms) and Pia: Add or Remove Email from Block List (SmartForms) that empower your customers to safely manage their own allowlists and blocklists. With built‑in guardrails, users can submit a simple request and the automation updates the appropriate list instantly and accurately without requiring Service Desk involvement.
Note:
These changes will occur for the policy which is configured as the default within Microsoft Office 365. Typically this is the Anti-spam inbound policy (Default)
Flow
Pia: Add or Remove Email from Allow List (SmartForms)
- In the SmartForms portal, Pia will present you with a form to fill out the details of the email or domain that needs to be added or removed from your client’s Microsoft 365 Allow List.
- Pia will then add or remove from the allow list based on the form your Client has submitted.

- In the SmartForms portal, Pia will present you with a form to fill out the email or domain that needs to be added or removed from your client’s Microsoft 365 Block List.
- Pia will then add or remove from the block list based on the form your Client has submitted.
