SmartForms: Add/Remove Access to Groups

Overview

Enable your clients to self‑serve common access changes by adding or removing users from groups. This frees up your engineers to focus on higher‑value, more complex work while giving clients controlled autonomy over access changes. This SmartForm provides a structured and auditable way for clients to manage access without increasing risk or operational overhead.

This pack allows clients to easily manage membership across security groups, distribution lists, and Microsoft 365 groups in Azure Active Directory, Active Directory (On Prem), and Exchange Online. It supports role changes, project onboarding and offboarding, and compliance requirements. Requests are standardised, approved, and applied quickly, reducing ticket volume, delays, and manual effort for your service desk.

Flow

Here’s the flow:

1. Pia will ask if you want to add or remove access to the group.
2. When adding user(s) to a group:
   1. Pia will ask you to select the user(s) to modify access for.
   2. Pia will ask you to select the group(s) the selected user(s) need to be added to.
   3. Pia will add the user(s) to the selected group(s) based on the details submitted in the SmartForm.
3. When removing user(s) from a group:
   1. Pia will ask you to select the user(s) to modify access for.
   2. Pia will ask you to select the group(s) the selected user(s) need to be removed from.
   3. Pia will remove the user(s) from the selected group(s) based on the details submitted in the SmartForm.
